Members

In the register, your customers are called members. It is the same customer file as your online store and the Vivlab dashboard: a customer who signed up on your site appears here, and a profile created at the register appears in the dashboard. Use this screen to find a customer, complete their profile and manage their loyalty points.

What do you want to do?

Find a customer

  1. Open Sell > Members.
  2. Type a name, email address, phone number, city, company name or tag in Search for a member.
  3. Tap the customer's row to open their profile.

On a large screen, each row shows the name with the company, email and phone, the Location (city, country and language), the Newsletter and Cart reminders consents, the Sign-up date, the Activity and the Tags. On phones and tablets, the row shrinks to the name, the activity status and the email or phone.

A member is Active if they visited your online store in the last 90 days and Inactive after that. No activity means they have never visited, for example a customer created at the register who has no account on your site.

Pro plan and Manager role

Members are part of the register's Pro plan. On the Free plan, the screen shows "The Pro plan is required to access this feature." and the See plans button (see Billing). The Members entry only appears in the menu for the Manager role. Roles are set in Staff.

Add a customer

Create a profile for a customer who has not signed up yet, for example to email them their receipts or follow their purchases.

  1. In Members, tap Add a member.
  2. In Contact, enter the Email, the only required field, then if needed the Full name, Phone and the Language in which they prefer to receive your messages.
  3. In Marketing, tick Newsletter opt-in if the customer accepts your marketing emails and Cart reminders if they accept reminders when they leave a cart unpaid on your site.
  4. In Address, enter their billing address if needed.
  5. Tap Save.

Shipping addresses, the internal note, points and files are added afterwards from the profile. Creating a profile does not create a sign-in account on your site: the customer can sign up later with the same email address.

During a sale

You do not need to leave the sale to create a profile: choosing the customer in the cart also offers Add a member. See Link a customer to a sale.

Link a customer to a sale

On the sale screen, tap Add member ("Link this sale to a customer") in the cart, search for the customer in Select a member and tap their name. If you cannot find them, Add a member at the bottom of the window creates their profile. Change member and Remove member fix a mistake before checkout.

The linked customer appears on the receipt and in the receipt's Details card, in Receipts. Every role can link a customer to a sale and create their profile from the cart, as long as you have the Pro plan.

Read a customer's profile

The profile header shows the customer's tags and counters: number of Orders, Last activity, points balance (under the name of your loyalty points), Active vouchers and Member since. Below, the cards cover:

  • Contact: email, phone, language, the Sign-in method for your site (Google, Email, or "No sign-in account" for a profile created by hand) and, for a business, the company name, SIREN and VAT number;
  • Marketing: the status of the Newsletter and Cart reminders consents;
  • Address and Shipping addresses: the billing address and one card per shipping address, with Add and Delete;
  • Internal note: notes visible only to your team, never to the customer;
  • Orders: the orders placed on your online store with this email address, with their status and amount. Tap an order to see its items;
  • Subscriptions: their current or ended subscriptions;
  • Payment: the cards they saved on your site;
  • Abandoned cart: the cart they left unpaid on your site, if there is one;
  • loyalty points (the card carries the name of your points): balance, points Earned and Used, and each dated movement;
  • Discount coupons: the discount codes reserved for them or earned with their points;
  • Downloads: the files made available to them;
  • Account security: signing out their sessions.

Register sales are not in Orders

The Orders card only lists online store orders. Sales rung up at the register are in Receipts. A register sale does not credit loyalty points: to reward an in-store purchase, adjust the points by hand.

Edit a customer's details

  1. Open the customer's profile.
  2. Tap Edit at the top of the profile.
  3. In Edit member, correct the contact details, marketing consents or billing address.
  4. Tap Save.

For a shipping address, use Add or Delete directly in the Shipping addresses card. The Internal note is edited in its own card, with its Save button. A customer's tags appear on their profile but cannot be changed from the register.

Credit or remove loyalty points

  1. On the profile, in the points card, tap Adjust points.
  2. In Adjustment type, choose Credit to add points or Debit to remove them.
  3. Enter the number of Points and, if needed, an internal note.
  4. Check the Current balance and the New balance, then tap Confirm.

The movement is added to the points history and the customer sees their new balance in their account on your site. Show all expands the full history.

Give a customer a discount code

Create a coupon with the Reserve for one member option and choose this customer. The code appears in the Discount coupons card of their profile and is added to the Active vouchers counter. Only this customer can use it.

Share a file with a customer

Add the file in the Downloads card of the profile, for example an invoice or a user guide: the customer finds it in their account on your site. Delete it from the same card when it is no longer needed.

View or cancel a subscription

In the Subscriptions card, tap a subscription to see its plan, amount, frequency, next payment date, payment method and invoices. Cancel subscription stops it: it stays active until the end of the period already paid, then ends with no further charge, and the customer immediately receives a confirmation email. Manage on Stripe opens the subscription at Stripe, your store's payment provider.

Sign a customer out of all their devices

In the Account security card, tap Sign out all sessions and confirm. The customer is signed out of your site on all their devices, which helps when they ask for it or when their account seems to be used by someone else.

Delete a customer on request

  1. Open the customer's profile.
  2. In the actions menu at the top right of the profile, choose Delete member.
  3. Type "Delete permanently" to confirm.

You can also delete a customer from their row's menu in the list. The profile is erased with its contact details, addresses, internal note and all its loyalty points.

Permanent deletion

A deleted profile cannot be recovered. The register receipts the customer appeared on stay in Receipts, and their online orders stay in the dashboard: you must keep them for your accounting.
